Note that we are looking to identify people in the business who are critical in day-to-day operations. Whilst senior management may be important in the business, they may not be important in day-to-day operations.

Without wanting to appear over-simplistic, a good rule of thumb is to ascertain whether an individual requires someone to takeover their role when they are absent or on leave.

This does not mean a deputy or caretaker, but a full time replacement. If they do, then the chances are their role is important in day to day operations.

If not, then their role is of low importance in the day-to-day operations. Generally, in the short term, administrative staff and sales staff are not critical in day-to-day operations.

Having said that, the pandemic is expected to last 18 months and people who catch it will be off sick for 4-6 weeks. Keep this in mind when completing this template.

In the first column, enter the name and position of the incumbent.

In the second column, enter a score between 1 and 5 for the importance of the person in your day-to-day operations, where 1 indicates low importance and 5 indicates high importance.

In the third column, assess the impact on operations if that person is absent. 1 indicates low impact, and 5 indicates high impact.

In the fourth column, determine your current back-up status, where 1 indicates you have full back-up in place and ready, and 5 indicates there is no back-up in place for this person/position.

Finally add together the scores in columns 2, 3 & 4 and place the total in the fifth column.

The score you are looking to reach is the lowest score possible. A total score of 3 points would indicate that this position is least important, has least impact if absent, and you have full back-up in place and ready anyway.

Conversely a total score of 15 would indicate that this person/position is extremely important, the impact if absent would be disastrous and currently no back-up is in place.

A person/position with a score of 15 would need immediate and top priority attention.
